Getting started

Learn the basics, connect external calendars, and set core availability before taking bookings.

Check your name and upload your profile picture

Insert your first and last name in your account profile fields.

Upload a profile image for the account holder. Event-level logo branding can be set later in individual event types.

  1. Insert your First Name and Last Name.
  2. Click the image box and upload your profile picture.

Connect your external calendar(s)

Calendr supports multiple external calendars and conflict-aware scheduling.

  1. Hit the '+' button and select Google or Microsoft.
  2. Choose the account you want to connect.
  3. Under Avoid, select calendars that should block conflicting bookings.
  4. Under Send To, select one destination calendar for new bookings.
  5. Repeat with '+' if you need to connect additional calendars.

Setting up Default Availability

Default Availability defines your normal working days and times and saves setup time across multiple event types/calendars.

  1. Choose Simple or Advanced view.

Event Details are the first information guests see on the scheduling page.

Event Name is required, while other fields are flexible.

Use preview to verify how details appear before saving.

Intervals define exact start times shown to guests.

Availability output is calculated from interval rules plus configured working hours.

Set a minimum lead time to prevent last-minute bookings.

Example: at 13:00 with a two-hour notice, earliest available slot becomes 15:00.

When can events be scheduled?

Choose one booking window mode: indefinitely, fixed date range, or rolling window.

Date range mode limits booking to explicit start/end dates.

Rolling mode limits how far ahead guests can schedule and advances daily.

Integrating with Zoom

Connect Zoom to generate unique meeting links and passcodes automatically for bookings.

Zoom details appear in confirmation pages, emails, reminders, and dashboard events.

  1. Open Dashboard > Integrations and choose Zoom.
  2. Follow the connection flow to authorize your Zoom account.
  3. To disconnect, uninstall Calendr from Zoom App Marketplace (Manage > Installed apps).

Integrating with Stripe

Stripe enables payment collection at scheduling time.

Connect once in Integrations, then enable payment on individual event types.

Refund handling is performed directly in Stripe by account owners.

Sync Zoom with an Event Type / Calendar

After integrating Zoom, add it per event type/calendar so bookings generate Zoom details automatically.

  1. Edit your event type/calendar.
  2. In Location Settings, enable Host Dependant.
  3. In Event Hosts, set location to Zoom Meeting for specific host(s).
  4. Select the Zoom account and click Add Zoom Integration.
  5. Save and exit.

Round Robin

Set up organization-based host sharing and availability-aware booking distribution.

Setting up your Organization

Organizations enable Round Robin events across team members.

Team members need Calendr accounts and default availability before joining and booking distribution.

  1. Open Organization from the dashboard menu and create a new organization.
  2. Invite teammates by entering one email address per line.
  3. Have teammates accept invites.
  4. Edit event type/calendar, add hosts, set priority, and choose availability source.
  5. Save and exit to activate shared hosting.

Inviting your team members

Round Robin requires an Organization.

Send invites by entering teammate emails after organization creation.

Invitees must create Calendr accounts and set default availability before scheduling distribution works.

Maintain baseline availability and customize special-case schedules per event when needed.

Edit default availability any time from profile settings.

Choose Simple or Advanced view, set weekday windows, add internal gaps, and copy across days.

Apply changes to update baseline scheduling behavior.

Custom Availability

Use custom availability for one-off changes, vacation periods, or event-specific host schedules.

  1. Edit the target event type/calendar.
  2. In Event Hosts, enable Specific Custom Availability.
  3. Set date-specific availability windows in Simple or Advanced mode.
  4. Save and exit.

Understand free vs premium plan behavior, limits, and billing lifecycle details.

Forever Free accounts

Forever Free includes all features with one limit: 10 meetings per month.

Credits refill monthly and users are notified by email.

All-You-Can-Meet Premium accounts

Premium removes monthly meeting limits and includes all current and future features.

Pricing is USD 10 per month with recurring billing on the same date each cycle.

After cancellation, premium remains active until cycle end, then reverts to free.

Refund policy and payment processing follow Stripe-based billing terms.
